Corporate Event Management

Corporate Event Management
in Kolkata.

One team. Brief to breakdown. So the chasing isn't yours.

Conferences, product launches, AGMs, awards nights, dealer meets, offsites — planned and executed by one accountable team. From the first agenda meeting to the last vendor invoice. So you can focus on what the event is for, instead of whether the AV team has arrived.

How we work

Single point of accountability.

Most corporate events fail in the same way. The brief is given. Vendors are booked through different channels — the venue through admin, the AV team through procurement, food through HR, branding through marketing. The day of the event, three vendors arrive expecting three different things. And the person who booked them is the one explaining it to leadership.

We work as one team across all of it. One brief, one plan, one point of accountability. Every vendor is sourced, briefed, and managed by us. Every contract sits with us. Every problem is ours to solve. Your team prepares the agenda. We prepare everything else.

By the day of the event, you should be focused on your speakers, your guests, and your message — not on whether the right backdrop reached the venue at 6 AM.

What we plan

Ten kinds of events. One team across all of them.

Each event type has its own audience, its own production demands, its own non-negotiables. We plan them differently. We deliver them with the same standard.

01

Conferences & Seminars

Single-day or multi-day knowledge events. Speaker logistics, AV production, attendee management, registration flow, hospitality, breakout coordination, and the kind of run-of-show that doesn't slip even when a panel runs ten minutes long.

02

AGMs & Annual Days

Annual General Meetings, year-end town halls, anniversary events. Full production — stage, AV, branding — coordinated with the formal agenda. Recognition moments, awards segments, and the evening's entertainment, all on one timeline.

03

Product Launches

Public-facing brand moments. High-stakes AV. Media coordination, hospitality, demo logistics, photography and videography. Press and influencer management when the launch needs it.

04

Awards Nights

Recognition events for employees, partners, dealers, and customers. Stage, anchor, trophies, choreographed segments, photography, after-party logistics — all designed so every recipient walks off the stage with a memory worth keeping.

05

Dealer & Channel Partner Meets

Relationship events for distribution networks. Information sessions during the day. Hospitality and entertainment in the evening. Designed to make partners feel valued, not just briefed.

06

Corporate Offsites

Strategy retreats, leadership offsites, team-building programs at out-of-city locations. Transport, accommodation, agenda design, F&B, activities — every detail managed so the team can actually think and connect.

07

CSR Events

Community engagement programs, NGO collaborations, public sector initiatives. Logistics, hospitality, media coverage, documentation — coordinated with the sensitivity these events need.

08

Exhibitions

Industry exhibitions, internal showcases, branded experience zones. Booth design, attendee flow, AV integration, signage, and the small operational details that decide whether visitors stop or walk past.

09

Trade Shows

B2B trade events and multi-vendor commercial showcases. Exhibitor coordination, attendee management, signage, registration, and the operational logistics that scale with the show floor.

10

Inaugurations & Foundation Stones

Office openings, ribbon-cuttings, foundation laying ceremonies. Ritual coordination, VIP management, media presence, photography — handled with the formality these moments demand.

What full planning includes

Eight things every Full Planning corporate event includes.

The scale changes between a 50-person seminar and a 500-person AGM. The list doesn't.

  1. Brief intake and concept design

We start with the goal. What is the event for? Who is the audience? What is the message? The concept gets built around the outcome — not pulled from a folder of past events.

  2. Venue selection and negotiation

We source and shortlist venues against your brief, negotiate rates and terms, review the contract before you sign, and confirm all logistics before the booking is locked.

  3. Vendor sourcing and management

Stage, AV, lighting, branding, catering, hospitality, transport, photography, talent — every vendor sourced, vetted, briefed, and managed by us. You meet them. We manage them.

  4. Run-of-show development

A minute-by-minute production plan. Shared with every vendor, every speaker, every team in advance. Everyone knows what happens when — and what to do if it slips.

  5. Budget structuring

A line-item budget you can actually read. Planning fees separated from vendor costs. Vendor invoices visible to you. No hidden margins, no last-minute additions, no surprises.

  6. On-day production management

Our team on the ground from setup to closing. Stage management, vendor coordination, attendee flow, crisis handling — all ours by default.

  7. Branding and creative execution

Stage backdrops, standees, entry gates, registration zones, in-venue signage, theming elements — all designed in line with your brand guidelines and built to scale.

  8. Post-event closure

Vendor payments, equipment return, reconciliation reporting. The event ends when we say it ends, not when you have to start chasing vendors for invoices.

Production capabilities

Six production capabilities. One coordinated team.

Every capability below is delivered through our trusted network of partners — sourced, briefed, and managed by us, accountable to us.

Stage & Set Design

Concept design, fabrication, on-day installation, dismantling. From a clean briefing platform to a fifty-foot main stage with custom branding integration.

Audio Visual (AV)

Sound systems, projectors, LED walls and screens, live recording, livestreaming, multi-camera setups for hybrid events.

Lighting

Stage lighting design, ambient and architectural lighting, programmed sequences synced to the run-of-show, mood lighting for after-parties.

Branding & Signage

Backdrops, standees, entry gates, registration zones, directional signage, in-venue branding — all on-brand, all installed before doors open.

Talent & Artists

Anchors and MCs, DJs, dancers, live bands, comedians, motivational speakers, celebrity guests — sourced and managed end-to-end.

On-Ground Crew

Stage managers, runners, vendor coordinators, technical leads, hospitality staff — the people who make sure the plan actually happens on the day.

Each industry has its own audience, its own expectations, its own non-negotiables. We plan around them — never around a template.

Engagement Tiers

Two ways to work with us.

Planning fees only. These are separate from the event budget — the actual cost of venue, AV, catering, branding, talent, and everything else that goes into the event itself.

Tier I

Full Planning

Starting from ₹75,000 or 20% of event budget — whichever is higher.

We plan and execute the entire event — brief to breakdown. Engaged 2–4 months out for most events; longer for major launches and AGMs.

Tier II

Partial Planning

Starting from ₹35,000 or 20% of event budget — whichever is higher.

For specific scopes — for example, only the production (stage, AV, lighting), or only the day-of management. Same team, narrower coverage.

Coverage

Events across East India.

Most of our corporate events are in Kolkata. But we plan and execute across East India — Bhubaneswar, Guwahati, Siliguri, Jamshedpur, Ranchi, and smaller business hubs across the region.

The model is the same as a Kolkata event. Planning fees on the same scale. Our team travels with the event. Travel and accommodation costs are added transparently to the budget — not hidden in vendor margins.

If you're planning an event outside Kolkata, talk to us early. Vendor sourcing and logistics work differently outside the city, and lead time matters more.

Two events. Both real.

Selected because they show two ends of the same standard — one planned across months, one executed across a single night.

01Long-form Production

The 50th AGM.

A legacy Kolkata business — fifty years in the city — chose us to plan their 50th Annual General Meeting.

Three hundred and fifty attendees in one room. The brief was direct: it had to feel different from the forty-nine that had come before. Same agenda items, same speakers, same kind of room — but a year worth remembering.

We built a custom stage designed for the room, with a 400 sqft LED screen as the backdrop. Full sound and light production. Custom branding across entry gates, standees, and stalls. A live band, a DJ, a choreographed dance segment for the recognition awards. Special effects timed to the announcements.

Year two, the same company called us back for the 51st AGM. Same standard, smaller budget — ₹4.3 lakh dropped to ₹3.2 lakh. Same client experience. That's the test most event companies fail. Scaling up is the easy direction. Scaling down without losing the standard is harder.

02Overnight Execution

The Overnight Brief.

A Kolkata business needed a corporate event the next morning. The brief came in at 5 PM. The event was at 8 AM.

A stage. Sound. An LED wall. A professional anchor. Fifteen hours, including the night, to plan, source, transport, install, test, and execute.

Vendor calls were made by 6 PM. Equipment was loading by 9 PM. The stage was up by 4 AM. Anchor briefed by 6:30 AM. The event started at 8:05 AM — five minutes late, which in the client's words was "within tolerance."

We don't recommend booking us at 5 PM the day before. But we can be booked at 5 PM the day before.

Frequently asked

Six questions companies ask before briefing us.

Direct answers — the same ones we give on a first call.

Our planning fee for Full Corporate Planning starts at ₹75,000 or 20% of the event budget, whichever is higher. For Partial Planning, it starts at ₹35,000 or 20% — whichever is higher. These are planning fees only. They cover our work: concept, vendor sourcing, coordination, and execution. The actual cost of venue, AV, catering, branding, and talent is the event budget, billed transparently and separately.

For most corporate events — conferences, AGMs, dealer meets, awards nights — 2 to 4 months of lead time is comfortable. For major product launches or large-scale conferences with celebrity speakers, 4 to 6 months is better. For events outside Kolkata, add 4–6 weeks for vendor sourcing and logistics. The earlier we're briefed, the better the vendor selection and the better the rates we can negotiate.

Yes. We have planned events from small one-day seminars under 100 attendees to full-production AGMs at 350+ attendees with a 400 sqft LED screen backdrop. The scale changes the production scope. The standard doesn't. Every event is staffed by the same dedicated team, regardless of size.

We have. The fastest event we have executed was briefed at 5 PM and delivered the next morning at 8 AM — a stage, sound, LED wall, and a professional anchor, all planned and produced overnight. We don't recommend planning corporate events that way. But we can deliver them that way when the situation demands it.

Vendor invoices are billed separately and are visible to you. We do not take percentages, commissions, or kickbacks from any vendor. Our income is the planning fee — published, transparent, and signed in your agreement. This is how we keep vendor recommendations honest and our pricing model clean.

Eight things — brief intake and concept design, venue selection and negotiation, vendor sourcing and management, run-of-show development, budget structuring, on-day production management, branding and creative execution, and post-event closure. The full breakdown is above on this page. Anything outside this list, we'll quote separately and clearly before any commitment.

Why companies choose us

Four things that aren't industry standard in Kolkata.

  1. Single accountability.

One team owns the event end-to-end. The same person from the first call to the final vendor settlement. No handoffs between sales, planning, and execution teams. If something needs a decision, you call one number.

  2. Production depth, not vendor brokerage.

We design the stage. We oversee the AV. We direct the branding. We run the day. Vendors execute, but we own the production decisions and the outcome. You're not paying us to forward a brief to a decorator.

  3. Commission-free vendor model.

Published planning fees. Vendor invoices visible to you. We don't take commissions or kickbacks from any vendor. This is how we make sure every vendor recommendation we give you is based on quality, not on what we earn from it.

  4. Proven on tight timelines.

Five PM brief, eight AM event. We've done it. A 350-person AGM scaled down 25% without losing the standard. We've done it. When the timeline tightens or the brief shifts, the work doesn't slip.
